A quantity takeoff measures work from the supplied project documents. A bill of quantities organizes measured items into a schedule that can be used for pricing or tender comparison. The names are sometimes used loosely, so request the actual fields, measurement basis and pricing responsibility you need rather than relying on a file being called a BOQ.

For a US contractor buying estimating support, the practical question is whether your team needs a material list to price, a structured bid schedule, or a priced estimate. Those outputs overlap, but they are not interchangeable.

    Compare the outputs

Output Main purpose Information to confirm
Quantity takeoff Measure a defined scope for contractor or supplier pricing. Description, quantity, unit, location, drawing reference and separate allowances.
Bill of quantities Organize defined work into a consistent pricing schedule. Item descriptions, measurement rules, quantities, units, pricing columns and tender structure.
Priced estimate Apply agreed cost inputs to the accepted scope. Quantities, material/labor/equipment basis, rates, amounts, indirects and exclusions as agreed.
Supplier order Purchase the specified products. Approved selections, stock sizes, packaging, availability and purchase rounding.

A BOQ can be issued without rates for bidders to complete, or with rates for an agreed priced output. Confirm which version is required. A takeoff workbook with a cost column is not automatically a complete construction bid.

What belongs in a checkable quantity takeoff?

Each item needs a description precise enough for the recipient to understand what was measured. Retain units such as EA, LF, SF, CY or weight. Where requested, separate quantities by building, level, room, system or work package and keep the drawing issue visible.

Keep net measurement apart from purchasing assumptions. For example, measured tile area is different from the quantity after a pattern allowance, and both differ from a supplier order rounded to whole cartons. A pipe length does not automatically include all fittings, valves, hangers, insulation or testing.

Inspect the source quantity library to see descriptions, recorded units, allowances and available drawing references. For a step-by-step measurement workflow, read the material takeoff guide.

What makes a BOQ useful for comparison?

A pricing schedule needs consistent item boundaries. If one bidder includes a complete wall assembly while another prices board only, equal-looking quantities do not establish comparable prices. State whether an item is material supply, installation or a broader assembly, and identify associated operations carried elsewhere.

Ask the project team which measurement convention and tender format govern. Agree how openings, repeated assemblies, laps and provisional information will be handled. CSI organization helps locate trade information; it does not by itself define every project’s measurement or pricing rule.

    A useful handover identifies:

    • Item number, trade/package and clear work description.
    • Quantity and unit, with the agreed measurement basis.
    • Drawing, schedule or specification reference.
    • Rate and amount columns when pricing is requested.
    • Assumptions, exclusions, alternates and provisional items.
    • Document issue and revision status.

    A worked flooring example

Suppose an example room contains 1,000 SF of net floor finish and 140 LF of base. With an assumed 10% floor-tile allowance, the adjusted floor quantity is 1,100 SF. The base remains a separate LF item; it is not added to floor area. This is a worked example, not a client project or a universal waste rule.

For a supplier quantity list, request finish codes, material descriptions, adjusted quantities and any agreed location breakdown. The supplier still needs actual carton coverage and approved product selections before confirming the order.

For an installation pricing schedule, also identify who carries substrate preparation, removal of existing finishes, transitions, adhesives and protection. The project documents and agreed package determine whether those are separate items or part of an assembly rate.

For a priced estimate, identify material and installation rates separately where required, together with the rate source, pricing date and assumptions. Review the flooring estimating scope before requesting that package.

    Avoid three handover mistakes

Treating every recorded allowance as a recommendation. An allowance saved in a sample workbook belongs to that example. Agree the quantity and ordering basis for your own project.

Calling a partial schedule a complete estimate. If the request covers one trade, keep excluded divisions visible. A schedule can be detailed within its scope without covering the whole building.

Confusing measurement with design approval. Drawing-based quantities do not establish engineering certification, field dimensions or permit approval. Missing or conflicting design information needs clarification from the responsible project team.

    Which service fits your request?

Choose quantity takeoff services when your team or supplier will apply rates. Discuss the requested BOQ structure with quantity surveying support when you need a defined item schedule. Request construction estimating when pricing is also part of the required output.

Use the form on this page to describe the trades, document issue, project location and deadline. Attach your required spreadsheet or tender template when available. F&K confirms the accepted breakdown, fee and delivery date in writing after reviewing the request.
